How to Use Your Phone System

Manage phone numbers, use the softphone, view call activity, and test your setup.

Your Phone Numbers

Navigate to Dashboard > Phone System > Phone Numbers to see every number on your account.

Each number shows:

  • The phone number itself
  • Which agent it is assigned to
  • Routing status — Direct, IVR, or Not Configured

Assigning a Number to an Agent

  1. Click Configure next to the number.
  2. Select an agent from the dropdown.
  3. Click Save.

The Softphone

Open Dashboard > Phone System to launch the Softphone — a browser-based phone built right into KaiCalls.

  • Make calls directly from the dashboard without your cell phone.
  • View recent activity: calls, texts, and voicemails in the Activity Feed.
  • Click any activity item to see details, transcript, or recording.

Making a Test Call

  1. Go to Phone System > Test Call (or click "Test Agent" on any agent card).
  2. Enter a phone number or use the softphone.
  3. Kai will answer using the agent's greeting and instructions.
  4. After the call, check Dashboard > Calls for the transcript and recording.
Tip: Test your agent after every change to the greeting or prompt so you can hear exactly what callers will experience.

Viewing Call Activity

The Phone System dashboard shows recent calls, texts, and voicemails in one feed.

  • Filter by type — calls, texts, or voicemails.
  • Click any item for full details.
  • Call recordings are available for completed calls (look for the play button).

Number Porting

If you already have a business number, you can port it to KaiCalls so you keep the same number your customers already know.

  1. Go to Phone System > Porting.
  2. Follow the porting wizard — you will need your current carrier's account info and PIN.
  3. Porting typically takes 1–2 weeks.
  4. Your number continues working during the porting process.
Important: Do not cancel your existing carrier plan until the port is fully complete. Canceling early can cause you to lose the number.
