How to Use the SDR Pipeline
Let Kai work your leads on a cadence — automatic calls, emails, and texts, paced and capped the way you want.
What This Screen Is For
Open Dashboard > SDR Pipeline. This is Kai's outbound desk. Every lead in your system gets sorted into a segment (fresh demo, trial ending, no-reply, churned, etc.) and Kai picks the right next action — call, email, SMS, or escalate to you.
The four cards across the top show: Leads in Pipeline, Actionable (ready for Kai to touch right now), Needs Review (escalated to you), and SDR Status (Active or Off).
When SDR is enabled, a Run Pipeline button appears in the top right — click it to fire the next round of touches immediately instead of waiting for the next scheduled run.
Pipeline Tab
The default tab. Lists every lead in the pipeline with these columns:
- Lead — name and email or phone.
- Segment — color-coded label like Speed to Lead, Fresh Demo, Warm Demo, Cooling Demo, Trial Stuck, Trial Dark, Trial Ending, No Reply, Exhausted, or Churned.
- Score — lead score (green ≥80, yellow 50–79, gray <50).
- Touches — how many times Kai has reached out so far.
- Last Touch — relative time since the last contact.
- Next Action — what Kai plans to do next, or “Needs Review” / “Paused”.
- Actions — per-lead controls (see below).
Use the Search box to find a lead by name, email, or phone. Use the segment dropdown to filter the list to one segment at a time.
Per-Lead Actions
Each row has small icon buttons:
- Phone icon — queue a call to this lead now (only shown if they have a phone number).
- Mail icon — queue an email now (only shown if they have an email).
- Pause / Play icon — stop or resume automated outreach for this one lead. Useful when a deal is being handled manually and you do not want Kai to keep touching them.
Activity Tab
A reverse-chronological log of every action the pipeline has taken — calls, emails, SMS, escalations, and skips. Each entry shows the action type, the lead name, the outcome (queued, sent, auto_approved, failed, etc.), notes if any, and how long ago it happened.
Settings Tab
All the controls for how the pipeline behaves:
- Enable SDR Pipeline — master switch. Off by default. Turn it on to start working leads automatically.
- Auto-call, Auto-email, Auto-SMS — toggle each channel independently. Disable a channel and Kai will skip it in the cadence.
- Min gap between touches (hours) — minimum time Kai waits between touching the same lead. Default 24. Range 1–168.
- Max touches before escalation — after this many attempts, Kai stops auto-touching and flags the lead for your review. Default 5. Range 1–20.
- Business Hours Start / End — the hour window (24-hour clock) when Kai is allowed to call. Outside this window, no calls go out.
Click Save Settings to apply.
